Job Summary

As a District Office Administrative Assistant , you are responsible for contributing to the efficient use of the District Office Manager’s time by relieving the manager of those administrative details capable of being delegated.

Additional Info :

  • This position will be remote for 2-3 months and after this period, the selected person will be required to be on site Monday – Friday each week. The office will be located in the King of Prussia area.

  • This position will require up to 5% of working time travel.

  • Relocation assistance is not available for this position.

What You Will Do:

  • Answering telephones, taking messages and answering routine questions.

  • Maintaining vacation schedule and master schedule of whereabouts for staff.

  • Maintaining master copies of organizational policy and procedure manuals and keeping them up-to-date.

  • Typing and distributing memos, meeting minutes and presentations for staff.

  • Facilitating domestic and international travel arrangements; assisting in payments, expense processing, and charge card reconciliation.

  • Effective Communications: Understanding of effective communication concepts, tools and techniques; ability to effectively transmit, receive, and accurately interpret ideas, information, and needs through the application of appropriate communication behaviors.

  • Flexibility and Adaptability: Knowledge of successful approaches and techniques for dealing with change; ability to adapt to a changing environment and be comfortable with change. Easily adjusts to new or changing assignments, processes and people.

  • Managing Multiple Priorities: Knowledge of effective self-management practices; ability to manage multiple concurrent objectives, projects, groups, or activities, making effective judgments as to prioritizing and time allocation.

  • Problem Solving: Knowledge of approaches, tools, techniques for recognizing, anticipating, and resolving organizational, operational or process problems; ability to apply knowledge of problem solving appropriately to diverse situations.

  • Office Administration: Knowledge of office administration activities; ability to carry out ongoing office administration tasks effectively and efficiently in support of local and remote teams.

  • Microsoft Office: Knowledge of Microsoft Office; ability to use the features and functions in all Microsoft Office products.

What Will Set You Apart (Preferred Skills):

  • Associate’s degree or higher

  • Experience in an administrative role; preferable within a large matrixed organization

  • Experience with drafting communications, proofreading documents, and formatting documents appropriately

  • Experience working and thinking independently, while maintaining superior organization and a high-level of confidentiality and professionalism
