JOB PURPOSE: To order, expedite and follow-up to ensure material availability of parts, ensure material flows from the source, through distribution system to the customer and maintain inventory control master records and update accordingly.

JOB DUTIES: This is an entry – level position within material availability. The intent of this position is to prepare the incumbent to take on the roll of Material Availability Analyst. In this position, the incumbent should gain an understanding of customer needs and become increasingly familiar with the company’s processes, systems and methodologies.

This position is part of a cell concept that is responsible for ordering, expediting, scheduling and controlling inventory records for assigned source of supply or commodity. This includes the records function, systems update and the contact with suppliers (company or outside suppliers) to ensure material requirements are met for the source or commodity assigned.

Order correct quantities from both plant and supplier sources. Schedule delivery of material to satisfy schedule dates and to prevent backorder or past due status. Determine priorities based on machine down status, assembly shortage or past due dates.

Follow-up on the requirements to minimize past due schedules. Expedite orders and provide promise dates for critical dealer machine down emergency orders. Contact source to obtain better promise date and negotiate with source to arrive at viable solution to material availability schedule.

Use Supplier Performance Website (SPA) to analyze a supplier performance in Past Due, On-Time Delivery, and Service Loss. When a certain supplier is performing below the guidelines set, work with them in variety of different ways to improve performance.

Work with Global Purchasing buyers and purchasing analyst on problem parts. Work daily to set up quantity minimums to be ordered with supplier, get preferred suppliers setup for emergency parts, and analyze what parts need to be deleted from our system.

Work with Inventory Management to keep a reasonable amount of inventory in Morton and numerous facilities worldwide. Use IM to have certain parts sourced to Production Facilities.

Resolve problems related to price discrepancies, quality problems, scrap disposition, etc. and informs Material Availability Coordinator of situations that need further resolution.

Maintains inventory management records for assigned source material and updates records to reflect status, material availability, promise dates, past due orders, machine down material, etc. and ensures systems accuracy to remain current with demand and identify problems relating to material availability.

Typical internal customers include various contacts throughout Caterpillar worldwide and its subsidiaries. External contacts include various customers and vendors throughout worldwide markets. The position is challenged to quickly and correctly identify problems that may not be obvious. The incumbent solves problems by determining the best course of action, within departmental guidelines, from many existing solutions. Impacts key quality goals including Customer Satisfaction, Continuous Improvement, Timeliness, Accuracy, Efficiency, Cost Savings The position meets or exceeds quality standards set for the measure(s) stated.

BACKGROUND/EXPERIENCE : The position typically requires completion of a 1-year vocational program after high school or an equivalent on-the-job training program. In addition, one to two years of job-related experience are typically required. The position typically requires familiarity with an office environment and general clerical experience. Some experience with personal computers would be helpful. Good human relations skills are required to develop a cooperative work relationship with others inside and outside the department.
