Ihre Aufgaben:

  • Selbstständige Organisation und Durchführung sämtlicher Assistenzaufgaben sowie kontinuierliche Verbesserung von Arbeitsabläufen
  • Terminkoordination
  • Organisation und Vorbereitung von Sitzungen einschließlich der Bereitstellung der Arbeitsunterlagen
  • Erstellung von Präsentationsunterlagen
  • Reisevorbereitung/-koordination und Abrechnung von Dienstreisen
  • Verwaltung und Administration von Mobiltelefonen, Firmenwagen, Drucker, Büromaterial usw.)
  • Verwaltung des Lieferantenstamms
  • Diverse Unterstützungsaufgaben (z. B. Teambuilding-Aktivitäten, Sicherheitsschulungsbedarf)
  • Koordination der Sitzungslogistik mit Caterpillar-Händlern wie Avesco und Zeppelin
  • Projektmanagement
  • Fachliche Führung und Koordination von u. a.  Aushilfskräften, Praktikanten

Voraussetzungen:

  • Abgeschlossene kaufmännische Ausbildung oder Fachschulausbildung
  • Mehrjährige Berufserfahrung im Bereich Büromanagement
  • Team- und Kommunikationsfähigkeit, verbindliches Auftreten
  • Selbstständige Arbeitsweise
  • Sehr gute Deutsch- Englischkenntnisse in Wort und Schrift
  • Sicherere Umgang mit EDV-Anwendungen, insbesondere Office 365
  • 6Sigma Green Belt wünschenswert / Bereitschaft zur 6Sigma Green Belt Ausbildung

Job Purpose

As an Administrative Assistant, you provide advanced clerical and administrative support and relief of administrative detail to company executives located in Munich. This role also encompasses the smooth running of the Munich District Office including organization of meetings and events, management of suppliers and basic on boarding (welcome, security badges, etc) of new employees as well as assisting the local team with company cars and cell phones. This tasks represents a relatively large portion of the incumbent’s time up to 80%.

This role will be 80% occupation with 20% home based.

Job Duties

  • Providing administrative support and personal admin support to the District Manager
  • Arrange and manage travel needs - customer/dealer/consultant visits including lodging, meals, schedule, meetings, etc.
  • Manage local District support in respect to contracts (cell phones, company cars printers, office supplies etc…) and suppliers as well as other support needs (team building activities, safety training meeting needs etc….)
  • Coordinate meeting logistics with Caterpillar Dealer Avesco and Zeppelin.

In addition to the above duties, the incumbent spends a portion of his/her time organizing and expediting workflow through the supervisor’s office. Job duties also require the use of advanced levels of understanding and skill in Microsoft Office as well as some office responsibilities.

Incumbents must be able to organize, complete and maintain large projects such as a database for a process improvement. This might also include the direction and coordination of the activities of others such as temporary clerical help, co-ops, other administrative professionals, etc.

Operates a personal computer for purpose of typing, scheduling meetings, calendaring of events and activities, sending and receiving messages, and uploading and downloading information utilizing various software programs.

BACKGROUND/EXPERIENCE

Candidates for this position must have a variety of administrative experiences gained at sectional, divisional and departmental levels. The position requires the application of seasoned, advanced administrative skills gained through years of experience and challenge in the more advanced and complex features of the activities of an office or work area. The incumbent should have general knowledge of company organization and its operations with a detailed knowledge of functions and responsibilities of the departments within the assigned area. The individual must be able to think and work independently, have superior organizational skills and maintain a high-level of confidentiality.
